Position SummaryWe are seeking a proactive and detail-oriented Office Administrator to manage the day-to-day administrative functions of our Richardson headquarters. You will serve as the first point of contact for our clients and agents, records management, and general office logistics.
Key Responsibilities- Front Office Management: Greet visitors and manage the multi-line phone system, directing calls to the appropriate departments.
- Agent & Funeral Home Liaison: Act as a resource for our partner agents and funeral homes, assisting with portal access and distribution of newsletters or marketing materials, etc.
- Records & Compliance: Maintain and audit physical and electronic files in accordance with Texas regulatory requirements. Ensure all client data is handled with strict confidentiality.
- Mail & Logistics: Manage incoming and outgoing mail, including processing insurance premium payments and distributing time-sensitive legal correspondence.
- Facilities Coordination: Monitor office supplies, manage vendor relationships (janitorial, maintenance, etc.), and ensure the office remains organized, clean and professional.
- Bilingual Support (Preferred): Assist Spanish-speaking clients and agents with inquiries regarding their policies or claims.
Preferred Qualifications- Experience: 2-4 years of experience in an administrative or office management role, preferably within the insurance, financial services, or legal industries.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and email.
- Communication: Exceptional verbal and written communication skills with a professional and compassionate demeanor.
- Organization: Strong ability to multi-task and prioritize time-sensitive projects in a high-volume environment.
- Education: High school diploma required.
Preferred Skills- Bilingual: Fluent in English and Spanish.
- Industry Knowledge: Familiarity with life insurance terminology or the funeral industry.
- Notary Public: Current Texas Notary Public commission (or willingness to obtain).
Work Schedule- Monday – Friday: 9:00 AM – 5:00 PM
